Facility Use Policy

Scheduling of the Texas AgriLife Research and Extension Urban Solutions Center (USC)
facilities are based on administrative priorities and not on a first-come, first-serve basis.
USC sponsored programs have first priority.
Second priority is given to University sponsored programs of an educational nature.
Use by government agencies has third priority. Fourth priority is given to education-related
or community service use by other outside groups. Facilities cannot be booked more than nine
(9) months in advance.

Facilities are available on a nondiscriminatory basis without regard to socioeconomic level,
race, color, sex, religion, disability, national origin and may not be used by any individual
or organization that discriminates in membership or in practice against any of the above mentioned.

Usage of the USC facilities is subject to the approval of the Administrative Management Council.
Reservations should not me considered confirmed until written confirmation has been returned to
the sponsoring group/individual. The university reserves the right to substitute space assignment
when circumstances necessitate.

A security deposit of $150.00 is due at the time of the application. This deposit is fully
refundable if the program is canceled seven (7) days prior to the start of the program minus
the cost of all unrecoverable expenses incurred as a result of planning the program. Programs
that cancel within six (6) days will forfeit the deposit.

The building use fee charges included the use of the parking spaces, utilities, and routine
janitorial services. Separate fee charges apply for audio-visual equipment and facility host(s) (when applicable).

Also, time needed to setup for your event must be scheduled based on contract terms and pricing.

Parking is restricted to all asphalt areas at the front of the buildings on Coit Road.
Rear parking is for employees only and is controlled by a gate, which requires authorization
to enter and exit the facility.

When possible, names tags are highly recommended.

Groups or individuals are responsible for the following: (1) Leaving the assigned space neat
and orderly; (2) Damage incurred to any equipment and/or facilities. If as a result of your
activity, the above items are not meet, the security deposit will be used to make any needed
repairs, and if none are needed, the security deposit will be returned within one (1) week of the activity.

To ensure that your event at USC facilities is successful, we strongly encourage you to come
and visit the facility space you have reserved and gain familiarity with the building
location and equipment.

The University is not responsible for any non-university property, items, materials and/or
equipment left at the USC facilities.

Alcoholic beverages cannot be served or consumed in the facilities or on the property.
